Transcription of Library of Congress Authorities

Introduction

We reuse authority records as provided by the Library of Congress at http://authorities.loc.gov. Unfortunately, there is no way known to me to bulk-load these into koha. Therefore, the authority records have to be transcribed on a record-by-record basis as need. Here I illustrate this process with an example.

The record

This is a record, as you would see it it in the Library of Congress. Here, they use the vertical bar | as a subfield indicator. You may recall we use the dollar sign $ for that. In the indicators, they use the underscore _ to represent the blank value.
I color-code the fields. Fields in yellow should not be transscribed but filled with the default values using the mouse. Fields in green should be transcribed into your authority record. Fields that are red must be changed. Sandy brown parts should be ignored.

Step-by-Step

From the home page, you click on authorities. When you click on the "Authority" button, you see a drop-down menu. There you have to select what type of authority. Let us select "Personal Name" here. We click on "000", "003", "005", "008" to get default values that koha is offering us. In "040", we set $a and $c to DLC, and $d to "lis512".
Now we move to the authorites search page. Enter your search term and the search type as "Name Authority Headings". Since names are usually given in inverted forms, it is best to start with the last name (family name) of the person if such a name exists, is known to you or and relevant. In the tab 1, you enter the 100 field. There you enter all the subfields of 100 that you find in the Library of Congress record. At least $a has to be there. Then you hit the "Save" button.
Now the authority record is usable as a heading. When you edit the bibliographic record, in the 100 field "Main Entry--Personal Name", you see the "..." next to the entry point to $a. This opens a pop-up box. Here you can enter a fragment of the name in the box right to "Main entry ($a only)". When an entry that corresponds to the search criterum is found, you see a table that has a "choose" value. Choose it. Then the authority record will be entered as the heading. Subfield $9 will tell you the number of the authority record that corresponds with the heading.
